Administration Section

Mandate:

The Administration section serves as the operational backbone of UADA, ensuring the smooth functioning of all sections and activities. Its core mandate is to provide efficient and reliable administrative support, manage human resources effectively, oversee information technology systems, and ensure adherence to legal and regulatory requirements. By fulfilling this mandate, the section enables UADA to focus on its core mission of sustainable urban development in Kohat.

Responsibilities

        Administrative Support:
  • Manage day-to-day administrative tasks ,such as correspondence ,record-keeping, and office management.
  • Coordinate meetings, events, and travel arrangements for UADA
  • Over see procurement of office supplies and equipment.
  • Maintain a well-organized and efficient office environment.
    Human Resource Management:
  • Develop and implement HR policies and procedures that align with UADA’s strategic goals and values.
  • Recruit, onboard, and train new employees.
  • Manage employee performance, conduct appraisals, and provide feedback.
  • Administer payroll and benefits programs.
  • Foster a positive and inclusive workplace culture.
   Information Technology and       Systems:
  • Over see the implementation and maintenance of IT infrastructure ,including hardware, software, and networks.
  • Ensure data security and privacy through robust cyber security measures.
  • Provide technical support to UADA staff for IT-relate disuses.
  • Explore and implement innovative technologies to enhance efficiency and productivity.
     Legal and Regulatory                         Compliance:
  • Provide legal counsel and representation to UADA on various matters ,such as contracts, procurement, and employment.
  • Ensure compliance with all relevant laws, regulations, and internal policies.
  • Review and draft contracts, agreements, and other legal documents.
  • Represent UADA in legal proceedings, if necessary.

Job Descriptions

  • Director of Administration: Provides overall leadership and strategic direction for the section . Oversees administrative support, human resource management, IT systems ,and legal compliance.
  • Administrative Officers: Manage day-to-day administrative tasks, coordinate meetings and events, and provide support to UADA staff.
  • Human Resources Specialists: Develop and implement HR policies, recruit and on board new employees, manage performance, and administer payroll and benefits.
  • IT Specialists: Oversee IT infrastructure ,ensure data security ,provide technical support, and explore new technologies.
  • Legal Counsel: Provide legal advice and representation to UADA, review and draft legal documents, and ensure compliance with laws and regulations.

Key Performance Indicators (KPIs)

  • Employee Satisfaction: Measured through surveys and feedback mechanisms.
  • IT System Uptime: Percentage of time that IT systems are operational and available.
  • Contract Compliance Rate: Percentage of contracts that are compliant with terms and conditions.
  • Legal Disputes: Number of legal disputes involving  UADA.
  • Administrative Efficiency: Time taken to process administrative requests and resolve issues.
